The purchase of services by the passenger implies the acceptance of the following general conditions.
About Payments For Reservations
At Sacred Journey Travel and Tours, we offer two payment options for reservations:
Reservations with 100% payment of the total amount through our website and/or via our sales representatives.
Reservations with 50% payment + 5% transaction fee of the total amount through our website and/or via our sales representatives.
If you have not made any of these payments, Sacred Journey Travel and Tours will not consider your reservation as CONFIRMED, and will not be obligated to provide the requested travel service.
The remaining amount may be paid up to one day before the start of your scheduled tour, either at our offices using any of the accepted currencies and payment methods (see the “Payment Methods” section).
If the remaining 50% balance is not completed one day before the tour, the reservation will be automatically canceled without the right to a refund.
About Currencies
At Sacred Journey Travel and Tours, we currently accept three types of currencies:
Peruvian Soles (PEN)
U.S. Dollars (USD)
Euros (€)
Our commitment to providing one of the best travel experiences also includes transparency with our travelers. Therefore, we offer an exchange rate according to the rate in effect on the day of payment. The exchange rate is fixed at the time of payment.
About payment methods
At Sacred Journey Travel and Tours, we accept the following payment methods:
Bank transfer to our business account (checking accounts in Peruvian Soles and U.S. Dollars at Banco BCP).
Credit and/or debit card payments through the Izipay and Niubiz platforms (surcharges of 3% or 5%, including VAT).
PayPal, with a 5% transaction fee.
Digital wallets, such as YAPE.
Cash payments at our offices (accepted only in Soles and U.S. Dollars).
Note on payments via Izipay and Culqi: Transactions made on Friday afternoons or during weekends will be reflected in our accounts on Monday after noon.
Due to SUNAT regulations, receipts or invoices are issued only after the payment has been registered in our account or received in cash.Clients may verify the receipt of their payment by requesting an official receipt via email or in person at our offices.
- About Modifications
At Sacred Journey Travel and Tours, we offer the following options for modifications:
One-day or multi-day tours (except Machu Picchu): You may reschedule your tour up to 24 hours in advance.
Tours and travel packages including Machu Picchu: You may reschedule up to 72 hours in advance, assuming the applicable costs such as Machu Picchu entrance fees (100% non-refundable) and penalties imposed by railway companies.
Note: Machu Picchu entrance tickets and train tickets are PERSONAL AND NON-TRANSFERABLE, with no option for modification, in accordance with the policies of the Ministry of Culture and the railway companies.
Once your modification has been approved, you will have up to 24 hours to inform us of your new travel date, subject to availability. Failure to do so within this timeframe will result in the cancellation of your modification request.
Any modification is subject to availability and price variation.
Additional modification costs will depend on fees charged by third parties (e.g., transportation operators).
- About Cancellations
One-day or multi-day tours (except tours that include Machu Picchu):
Cancellations up to 48 hours in advance: A 25% penalty (administrative fees) + 6% (payment gateway fee) of the total deposited amount.
Cancellations up to 24 hours in advance: A 50% penalty (administrative fees) + 6% (payment gateway fee) of the total deposited amount.
Last-minute cancellations: 100% penalty (non-refundable).
Promotions published on TikTok: NON-REFUNDABLE.
Tours and travel packages including Machu Picchu:
Cancellations up to 5 business days before the scheduled date: A 50% penalty (administrative fees) + 6% (payment gateway fee) of the total amount (only if 100% payment has been made).
The amount corresponding to the Machu Picchu tour (trains, entrance tickets, buses, and other services) is non-refundable.
Cancellations made after 5 business days prior to the scheduled date: 100% penalty of the total amount.
- About Cancellation in Exceptional Cases
In case of strikes or work stoppages:
- Cancellations up to 5 business days before the scheduled date: 10% penalty (administrative fees).
- Refunds will be processed within 45 business days, subject to the timelines established by providers (e.g., Inca Rail, Peru Rail, accommodations, etc.).
Notes:
All cancellations are evaluated only if 100% of the payment has been completed.
In cases of force majeure, the client must send an email to info@sacredjourneytat.com with supporting documentation.
Refunds (except in cases of strikes or stoppages) will be processed within 7 to 45 business days after the refund request has been approved by the administrative department.
Refunds are made via domestic bank transfer or PayPal, with transaction fees borne by the client.
The factors determining the complexity of a refund include the response time of providers and the verification of documents submitted by the client.
7. Cancellations and changes by Sacred Journey Travel and Tours
- Sacred Journey Travel and Tours will do its best to operate all tours as described, but by signing this contract, the customer understands that changes may be made to the itinerary or the things covered on the trip if doing so would be necessary or beneficial in light of the client’s current situation.
- Unforeseen and extraordinary situations outside the company’s control had unavoidable effects. The firm will limit outside influences. Political conflicts, border closures, visa refusals, industrial action, delayed flights, unpredictable climate, strikes, war, civil disturbances, natural catastrophes, government actions, technical problems, or acts of God are not covered. Sacred Journey Travel and Tours reserves the right at any time to cancel or change any of the facilities, services, or prices (including flights, accommodation, or other arrangements) and to substitute alternative arrangements of comparable monetary value and no monetary compensation or money refund; and accepts no liability for loss of enjoyment as a result of these changes. The client agrees to assume all extra costs derived from these factors.
- We are not liable for unexpected fees incurred because of client reservations, such as visas, vaccines, or non-refundable flights.
- Payment methods
a) Credit Card
We accept VISA, MasterCard, AMEX, and Diners Club; through this payment method, we do not charge any commission.
b) Wire Transfer
The client can directly transfer funds to our banking account. The client needs to add a US$ 50 admin fee to the amount sent.
Transfers take 1 to 3 days, depending on where the transfer is made.
- Changes by the client
- For any itinerary changes made by the client after obtaining a confirmed Travel Invoice from Sacred Journey Travel and Tours, the customer will be charged US$ 50 in addition to any expenses or fees incurred or assessed by our suppliers as a consequence of the modification. While every attempt will be made to accommodate revisions and additional requests, we cannot guarantee their fulfillment.
- Changes need to be made by the client no later than 40 days before departure. If that is not the case, Sacred Journey Travel and Tours has the right to accept or reject adjustments dependent on the availability of the tourist’s lodgings, tour guides, and transportation.
- The changes in reservations made 44 labor days before the trip departure will not be accepted.
- Any changes to the original booking must be confirmed by the person signing the booking form.
- Substitution of Client
Suppose any member of the group is prevented from traveling. In that case, it may be possible to transfer the booking to another suitable person, provided that written notice is given at least 45 days before departure.
We charge US$ 50 for Administrative expenses, plus any costs imposed by Sacred Journey Travel and Tours suppliers.
For Inca Trail changing any information such as dates, names, and passport numbers is impossible after we have purchased the permits. A permit is non-transferable/ nor refundable. The deposit will be forfeited. Please note that we do this because we are prohibited from re-selling the permit if somebody cancels.
- Medical conditions and special requirements
During the booking process, the customer must inform Sacred Journey Travel and Tours in writing of any medical conditions, pregnancy, handicap, or other mental and physical issues.
Failure to notify Sacred Journey Travel and Tours may result in the client being refused travel.
Failure to inform Sacred Journey Travel and Tours of such conditions will result in the customer being charged the total cancellation cost.
Some trips may be unsuitable for Clients due to age, mobility, disability, pregnancy, or physical or mental conditions. It is the client’s responsibility to check before booking. Sacred Journey Travel and Tours may refuse to carry pregnant women over 24 weeks or Clients with certain conditions. Sacred Journey Travel and Tours is not required to provide exceptional facilities unless it has agreed to do so in writing. Sacred Journey Travel and Tours will do its best to meet Clients’ special requests, including dietary, but such requests do not form part of the contract. Therefore Sacred Journey Travel and Tours is not liable for not providing these requests. Medical facilities vary from country to country, and Sacred Journey Travel and Tours makes no representations and gives no warranties concerning the standard of such treatment.
- Passport, visa, and vaccinations
The client must carry a valid passport throughout their journey to demonstrate visa permits, inoculations, and preventative medications as necessary by the tour location. Sacred Journey Travel and Tours provides information in good faith but without liability.
- Local laws
Everyone who participates in trips organized by Sacred Journey Travel and Tours expects to abide by the laws and rules of the countries they visit. Any failure to do so will relieve Sacred Journey Travel and Tours of all obligations they may otherwise have under these booking conditions.
- Travel insurance
It is necessary to have Travel Insurance. Sacred Journey Travel and Tours strongly recommend having Travel Insurance for all our travelers. The travel insurance must provide cover against personal accident, death, medical expenses, and emergency repatriation with a recommended minimum coverage of US$ 100,000 for each head of the cover. We also strongly recommend that it covers cancellation, curtailment, personal liability, loss of luggage, and personal effects.
- Flight bookings
- Sacred Journey Travel and Tours will use its best endeavors to ensure that all flight prices are correct at the booking time. Airlines reserve the right to amend or withdraw fares without prior notice.
- The airfare price is confirmed when the flight cost is paid in full, and the tickets are issued.
- Change of dates, routes, names, and others, will be made following the terms and conditions of the airlines.
- The client must check the tickets very carefully immediately upon receipt of the latest timings. Sacred Journey Travel and Tours will endeavor to inform the client as soon as possible in the event of any flight alteration.
- Sacred Journey Travel and Tours is not responsible for flight delays caused by weather, air traffic controllers, airport authorities, (local) governments, airline rescheduling, mechanical failure, strike, or industrial action.
- Clients’ responsibility
- Clients agree to accept the authority and decisions of Sacred Journey Travel and Tours staff, guides, tour leaders, and Travel Consultants while on tour with Sacred Journey Travel and Tours. Suppose these people think that a client’s health or behavior before or after departure is likely to threaten a tour’s safety, comfort, or smooth progress. In that case, the client may be kicked off all or part of the tour.
- In the case of ill health, Sacred Journey Travel and Tours may make arrangements as it sees fit and recovers the costs thereof from the client. If a client commits an illegal act, he/she may be excluded from the tour, and Sacred Journey Travel and Tours shall cease to have a responsibility to/for them. Suppose the client is affected by a condition, medical or otherwise. In that case, that might affect other peoples’ enjoyment or active participation in the tour, the client must advise us at the time of booking.
- No refund will be given for any unused services. Clients must have a valid passport to show at checkpoints, and it is their responsibility to get a valid passport and a visa if needed. Any vaccination certificates they need for the whole trip.
- Information about these matters or related items (climate, clothing, baggage, etc.) is given in good faith. However, Sacred Journey Travel and Tours cannot be held responsible for this information.
- Sacred Journey Travel and Tours responsibility
- Sacred Journey Travel and Tours organizes by order and account our travelers, with their names, transportation, accommodation, and other tourist services required, so we are not responsible in case of accidents, loss of belonging personal effects during the outsourcing of services such as: during the services of the Tour Guide, on the bus, in the hotels, in the restaurants, during hiking, in the camping, and others delays or interference with the tour, due to the strength of the main reasons that we have no direct responsibility.
- Sacred Journey Travel and Tours is not responsible for sickness, maternity, or physical or mental impediments, which may risk the health or integrity of the traveler or third parties during the tour. We will not assume any claim or reimbursement for the reasons mentioned above.
- Sacred Journey Travel and Tours will not pay any compensation if forced to cancel or change the trip due to war, riot, civil strife, industrial dispute, natural disaster, fire, bad weather, epidemics, health risks, transportation technical, maintenance problems, closed or crowded airports, or similar events
- Sacred Journey Travel and Tours will not accept responsibility for changes in flight schedule or departure airport, as this is the responsibility of the airline. However, we will Endeavour to minimize their effects on your journey. We cannot accept liability for any delays in any of your flights, whether the cancellation or delay is caused by adverse weather conditions, rescheduling of the airline, airport authority and/or action by air traffic controllers, mechanical breakdown, or industrial action. Where long flight delays result in lost holiday time, no refunds are given by hotels or suppliers. Similarly, airlines do not offer compensation for flight delays. However, at their discretion, carriers will Endeavour to reduce the inconvenience of any delay by providing meals and accommodation as appropriate for the time of day or night (dependent on local availability) if you incur payments for such services in the event of a delay.
- Sacred Journey Travel and Tours will not accept responsibility for payment unless we have given our prior consent. We request the client to inform us, previous to the agreement of our services, about any limitation of this nature to recommend special services that contemplate the existing impediments.
- If the Client has a complaint?
Suppose the client has a complaint about any tour arrangements. In that case, the client must bring it to the tour leader or other staff of Sacred Journey Travel and Tours at the time so that they may use their best endeavors to rectify the situation.
Only if Sacred Journey Travel and Tours is made aware of any problems will there be the opportunity to put things right.
Complaining to Sacred Journey Travel and Tours if an issue emerges during the trip will allow us to correct the situation or arrange for reimbursement. If the matter is not resolved, a written complaint must be submitted to Sacred Journey Travel and Tours within 28 days of the end of the holiday.
- Financial security
Sacred Journey Travel and Tours is a Tour Operator under Sacred Journey Travel and Tours E.R.I.L.

- Photography and testimonials
If we acquire or capture any images of the customer during the tour, we reserve the right to use them in our advertising efforts without compensation. We use this material to market our travels via video shows, pamphlets, and the Internet. If the client has provided us with written comments, it may potentially be utilized for promotional purposes.
- Privacy policy
Sacred Journey Travel & Tours will use the personal information provided by our clients to complete all travel arrangements. In addition, we will need to pass it on to our suppliers and carriers to provide the services requested by the client. However, we will make every effort to protect the client’s information and only use it for official purposes, as necessary.
